Applicant must submit an additional supplemental data sheet from the Texas State Library in order to be considered for the position.


Work involves processing cash receipts for deposit, and agency invoices, receiving reports, encumbrances, payment vouchers, and other documents in preparation of payment for designated goods and services.  Coordinate with internal purchasing staff, divisional purchasing liaisons, and external vendors to reconcile invoices.  Serve as backup to the SLRM Accountant for monthly invoicing.  Serve as backup to the Grants Accountant for federal receipts. This position works under moderate supervision, using specific procedures and guidelines to complete work assignments, with limited latitude for the use of initiative and exercising independent judgment. 


Collect, process, and record money mail and coin-op revenues for daily deposit.
Correct defaulted deposits and process revenue refunds.
Match vendor invoices with purchase and receiving documents.
Reconcile invoices and prepare payment of utilities and telecom billings.
Create payment vouchers for assigned vendors and enter data in the Uniform Statewide Accounting System (USAS).
Scan paid vouchers and make available to divisions.
Enter and maintain encumbrance data in USAS.
Serve as backup to the SLRM Accountant for producing monthly invoices for Records Center services.
Serve as backup to the Grants Accountant for receiving Federal revenue.
Balance and reconcile cash boxes and bill exchanger quarterly and at fiscal year end.
Maintain accounting files.
Attend work regularly in accordance with agency leave and attendance policies.
Comply with all applicable agency policies and procedures including safety and standards of conduct.
Perform other duties as assigned.


15 hours college coursework in Accounting, Finance, or related field
OR Graduation from high school/GED with two years accounting work experience.
Two years accounting work experience processing cash receipts and vendor payments.

Two years work experience using a personal computer, adding machine, and related office equipment.
Two years work experience creating and maintaining spreadsheets on a personal computer.

Knowledge of generally accepted accounting principles.
Ability to work accurately with numerical data and follow written and oral instructions.
Ability to communicate effectively orally and in writing.
Ability to plan and manage own duties, work under pressure and meet deadlines.
Ability to maintain confidentiality and security of information.
Ability to maintain effective working relationships and have a customer-service orientation.


Bachelor’s degree in Accounting or Finance
State of Texas Uniform Statewide Accounting System (USAS) experience.
Experience with records retention
Experience using relational databases, preferably Microsoft Access.


College transcript required with application if claiming college credit
Mathematical computation exercise (at time of interview)
Criminal history check (if offered position)


Reports to the Accounting and Grants Manager; works daily with Chief Accountant who serves as Team Lead.
