SUMMARY

 

Performs complex (journey-level) professional assistance work. Performs a wide variety of advanced administrative duties in support of the division director, staff and division programs. Performs duties that require confidentiality, initiative, independent judgment, and strong interpersonal and organizational skills. As the team leader for Administrative Assistant, assist in the development and appraisal of office services staff and office policy and procedures. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.

 

ESSENTIAL FUNCTIONS

 

Coordinates division purchasing requisitions in compliance with State and Agency purchasing and contracting policies and procedures;
Coordinates administrative operations;

Assists division director with the budget;

Provides advanced administrative support for division and Agency staff;

Serves as team leader for Administrative Assistant under the Division Director;

Liaison with Administrative Services division;

Division Coordinator for Records Management;

Attends work regularly in accordance with agency leave and attendance policies;

Complies with all applicable agency policies and procedures, including safety and standards of conduct.

Perform other duties as assigned.

 

MINIMUM QUALIFICATIONS

 

Thirty hours of relevant college credit in three (3) of the following areas: (1) English composition, technical writing, journalism, or related areas; (2) data processing, computer science, or related areas; (3)  business or public administration, management, personnel, or related areas; (4) mathematics, statistics, or related areas.

Two years work experience in advanced administrative support.

Two years work experience using Microsoft Office products to produce documents and spreadsheets, and/or derive information from databases such as Microsoft Excel or Access.

Demonstrated knowledge of correct grammar, spelling, punctuation, and composition.

Ability to organize, plan, schedule, and monitor complex administrative and clerical jobs.

Ability to coordinate a small staff with highly diversified functions.

Ability to communicate tactfully and effectively in writing and in conversation.

Ability to write business letters, reports, and procedures.

Ability to apply and explain agency rules and procedures to staff and to public.

 

PREFERRED QUALIFICATIONS

 

Bachelor’s degree from an accredited university.

Work experience in records management.

Work experience in a Texas state agency.

One year supervisory /team leader/lead worker work experience.

Experience with CAPPS, state purchasing processes.

 

OTHER REQUIREMENTS

 

Complete college transcripts.

Examples of written reports or other documents, spreadsheets, or documentation of database development/use must be submitted

Extra hours over the normal work week schedule may be required

Light lifting and moving of materials up to 35 pounds required

 

SUPERVISION

 

Serves as Team Leader for Administrative Assistant.  Reports to the Division Director of Library Development and Networking Division.
