JOB SUMMARY

Performs complex journey level administrative support for the training programs of the Records Management Assistance (RMA) and State Records Center (SRC) Units in the State and Local Records Management (SLRM) division of the Texas State Library and Archives Commission. Work involves coordinating and managing training events, maintaining files, information systems, and databases, preparing and distributing related correspondence, forms, training materials, and other documentation, and compiling reports and summaries of training program activities. Work also involves coordinating and maintaining print and electronic records management compliance data on Texas government entities. This position provides back up support to the division Administrative Assistant. The ability to provide excellent customer service in a high volume office and the ability to multi-task are essential elements of this position. Works under general supervision, with moderate latitude for the use of initiative and independent judgment.

ESSENTIAL TASKS

Performs administrative functions relating to training to include but not limited to, managing registrations, maintaining training supplies, materials, and equipment.
Manages relational databases including data entry and generating reports of records management compliance data, consulting, and training statistics.
Manages print and electronic files for the RMA unit.
Assists with special projects.
Provide administrative support to RMA unit.
Assists with maintaining divisional web pages, blog, and online learning management system.
Provides back up support to SLRM Administrative Assistant
Provides exemplary customer service and uses tact and diplomacy to work with government officials.
Attends work regularly and in accordance with agency leave and attendance policies.
Complies with all applicable agency policies and procedures.

NON-ESSENTIAL TASKS

Performs related work as assigned.

MINIMUM QUALIFICATIONS

Graduation from an accredited high school or successful completion of GED certification, plus two years of full-time public contact and administrative assistant experience. Nine semester hours of college course work in government, English, business administration, or related subjects may be substituted for one year of public contact and administrative experience.
One year full-time experience working with automated systems and databases including data entry and generating reports.
One year full time experience using Microsoft Office software including Word, Excel and PowerPoint.

Ability to communicate and work effectively with government officials.
Ability to work cooperatively in a team environment and independently to meet established deadlines.
Poise and appearance to tactfully deal with the public
Knowledge of business English, composition, and spelling
Knowledge of office practices and administrative procedures
Ability to handle multiple assignments simultaneously
Ability to lift 30 pounds

PREFERRED QUALIFICATIONS

Graduation from an accredited four-year college or university with major course work in government, English, business administration, or related field.
Work experience in customer service.
Work experience in an administrative assistant position in a government agency office environment.
Work experience coordinating events.
Work experience managing registration process for events.
Experience with Filemaker Pro and Microsoft Access.
Experience creating and editing web content, and online forms.
Experience using Adobe Acrobat Pro, including creating fillable PDF forms.
Experience using learning management systems such as Moodle and  Blackboard.
Familiarity with updating web pages using tools such as WordPress and HTML.

OTHER QUALIFICATIONS

College transcripts required with application if claiming college credit.
Ability to occasionally work overtime, including nights, weekends, and holidays.
May require occasional overnight travel and travel by personal auto and commercial air.
Must have valid motor vehicle operator's license or obtain Texas license within 30 days of employment.

Reports to Manager, Records Management Assistance.
