By Craig Kelso, Director, State and Local Records Management
To our state agency and local government records center customers,
The FY2014 Fee Schedule for the State Records Center was approved by the TSLAC Commission on April 24, 2013, and will take effect September 1, 2013. You can download a PDF copy of the schedule at: https://www.tsl.texas.gov/slrm/storage.html. Page one is a detailed list of the fees, and pages two and three explain what is included with each fee.
The State Records Center implemented the tiered fee schedule in FY2012 based upon an audit by the State Auditor’s Office, the Legislative Budget Board’s 2011 Government Effectiveness & Efficiency Report, and the final agency budget for 2012-2013, as approved by the Legislature. SLRM adjusted rates to comply with the requirement of being a full cost recovery operation.
During our annual formula review, we focused our efforts on reducing the cost for the highest consistent monthly charge – hard copy storage – and offsetting the revenue reduction with increases in intermittent activity fees – accessions, circulations, and dispositions – while balancing our overall budget. We are pleased to announce that we have reduced the monthly storage costs by 2.4 cents per cubic foot, per month, for FY2014. Microfilm storage and standard delivery charges will remain the same. Please refer to the fee schedule for the entire list of fees.
Our goal each day is to provide prompt and dependable service. We understand some may want to take advantage of the rates for accessions and destructions before the end of the fiscal year. However, it takes time to process requests prior to picking up new boxes or destroying boxes that have met their retention, so please keep the following dates in mind if you wish to receive guaranteed FY2013 pricing:
August 7 – last day to submit destruction certificates or requests for permanent transfers for FY2013
August 21 – last day to submit new transmittals for FY2013
If we are able to process and complete transactions after these dates and prior to August 31, 2013 we will do so. However, due to staffing and the expected volume of requests, we may not be able to meet the August 31 deadline, and will not be able to offer FY2013 prices.
Thank you for the opportunity to provide services to your agencies.
