Email Management: Part I

Part I is intended for anybody who is interested in managing their email more efficiently. In Part I, you will learn:

  • Texas laws and rules regarding email: Learn what the law says about email management for local governments and state agencies
  • How to determine if an email is a record: No, you don’t have to keep all your email! But you can’t delete them all either. We’ll help you learn the difference between emails you can delete and those you must keep.
  • 3 step drill: Follow these steps to learn how long to keep those emails that are records
  • Organize your inbox: We’ll show you a DIY method of inbox management in Microsoft Outlook

Email Management: Part II

Part II of the webinar is more advanced and is intended for RMOs or anybody seeking more advanced knowledge of email management.  We will discuss:

  • The role of the RMO: How involved should the RMO be in creating email policies and training (Spoiler: Very!)? And what should be covered in those policies and trainings?
  • What to do with the emails of exiting employees: Should you let IT handle it, or keep the emails forever?
  • What makes a complete email record: Do you need to include attachments? What about metadata?
  • More methods of managing your inbox: NARA’s Capstone approach, “Big Buckets,” Organization by retention
  • Email technology: encryption, auto categorization, eDiscovery, and email archiving tools

    An archived recording of the webinar will be available on the course page (you need an account to access the materials) 2-3 days after the live event, so that should give you enough time to watch the recording before Part II on the 31st.
