SACCRIM – A group for records friends!

The State Agency Coordinating Committee, Records and Information Management (SACCRIM) is a group for records leaders to get together to discuss recommended opportunities, organizations, strategies, and more!

SACCRIM is recommended by the Texas State Library and Archives Commission (TSLAC) because it is a free opportunity to hear and discuss with one another your records program struggles, achievements, tips, tricks, and anything else on your mind! Another reason TSLAC loves the group is because we learn a lot about data and information management and the open records request, because the topics are normally intertwined with the management of records. TSLAC thinks this is a great group to discuss with some of the top records leaders in the Texas industry about how they handle challenging topics!

Who attends?

Voting members

Specific state agencies are designated as voting members. To see a list of those members, check out SACCRIM’s member list.

Guests

Records Management Officers (RMO) and records liaisons from all Texas state agencies, public universities, and local governments are welcome to attend as guests! If you, or someone you want to invite, falls outside of that scope, you will need to contact the Chair to determine if you may attend. SACCRIM loves when guests attend! If you’re intimidated about attending the meetings, reach out to the Chair for further information about how the meetings are conducted to get more acquainted and determine if this is the right place for you or your records friends.

Discussion topics:

Administrative

At the meetings, SACCRIM starts with administrative updates. The updates consist of announcements that affect all or most of the attendees. Topics have included reminders about upcoming external training and events, discussion about projects that SACCRIM is working on, announcements about networking events, and updates needed to ensure the meetings run properly.

TSLAC

The State Local and Records Management (SLRM) Director, Program Planning and Research Specialist, and our own Records Management Assistance (RMA) Team at TSLAC provide updates for the group, because TSLAC’s processes affect attendees. This includes monthly updates about TSLAC’s upcoming training, events, services (including storage), and related projects.

RMICC

The Chair from the Records Management Interagency Coordinating Council (RMICC) gives an announcement on RMICC’s projects and meetings. In addition to being another records management group that works on projects that better the state’s records management program, strives to connect RMOs, and encourages their leadership skills, RMICC created SACCRIM! SACCRIM is a subcommittee of State Agency Coordinating Committee (SACC), which has subcommittees for various industries. In 2015, members from RMICC, TSLAC, and the Office of Attorney General suggested a SACC subcommittee be created for records management, because it would help RMOs find one another, connect, and discuss common issues among their programs. We’re super happy that RMICC saw the need for SACCRIM, because it truly is a way for us to connect with others in the industry.

Share & Shine

SACCRIM hosts “Share & Shines,” which are presentations that members or external guests present to provide attendees with tips, tricks, and guidance via case studies or by sharing their knowledge or resources. This year, the group has or will host topics on information governance, a legislative tracking tool, how to use a TOWS (Threats, Opportunities, Weaknesses, and Strengths) analysis to mitigate risk, inventory guidance, a demo on how to create a Shared Drive to help with records retention, implementing effective file names, comparing your retention schedule to the state’s Records Retention Schedule (RRS) and University’s Records Retention Schedule (URRS) schedules, tips for combining multiple record series to create efficiency in filing and disposition, and what happens to an agency’s records after they are abolished. During the SACCRIM meetings, guests have opportunities to ask the presenters questions. Most presenters provide resources to help you after the meeting has concluded.

Have a Share & Shine idea? They love that! You can present at SACCRIM to either share something helpful or help you customize an internal presentation to make it even better! Why not take advantage of a platform of friendly, intelligent, and non-judgmental records homies who can help you obtain buy-in with staff or upper management.

Recommended organizations

Due to SACCRIM attendee’s constant desire to help one another, at the meetings, the group announces dates and further information about upcoming external events for local, state, and national organizations they recommend. These external groups are another opportunity to get together virtually and in person with fellow records friends to discuss their programs, experiences, and learn more from one another and some of the top in the industry. Some of the organizations that are recommended cost money, while others are free!

Open Forum

Have woes? Have records, information, or data questions that you’ve always wondered if someone else has the answer to? Prior to, and during the meeting, a prompt is sent for the group’s open forum. The open forum is at the end of the group’s meeting and is a chance for attendees to ask anything that is on their mind about records, information, or data management. The group tries to make this the bread and butter of their meetings, because the group’s purpose is for discussion and to learn from one another!

Meeting dates and times:

Unless there is a schedule conflict, meetings are held on the 3rd Thursday of every month from 3:00-4:30 pm.

If you’re still nervous about attending, we strongly encourage you to reach out to the group’s chair or us (your analyst) to hear more about the group, how it may benefit you, and who from your entity may find value from attending!
