Put on your records management hat, pull on your information governance boots, and get in the spirit of the day by checking out these e-discovery resources.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What is E-Discovery?<\/h2>\n\n\n\n<p class=\"has-background\" style=\"background-color:#b6e0f3\"><a rel=\"noreferrer noopener\" href=\"http:\/\/arma.org\" target=\"_blank\">ARMA International<\/a> defines <strong>e-discovery<\/strong> as &#8220;the process of identifying, locating, securing, reviewing, and protecting electronic information and materials that are potentially relevant to specific litigation and may need to be produced to other parties.&#8221;<\/p>\n\n\n\n<p>There are many ways to conduct discovery, but in the context of records and information management, practitioners are concerned mostly with requests for production of documents and\/or data.<\/p>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignleft size-full is-resized\"><img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2021\/11\/database-schema-g1e3b17f1f_640.png\" alt=\"Data map illustration\" class=\"wp-image-16980\" width=\"347\" height=\"303\" srcset=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2021\/11\/database-schema-g1e3b17f1f_640.png 640w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2021\/11\/database-schema-g1e3b17f1f_640-300x262.png 300w\" sizes=\"auto, (max-width: 347px) 100vw, 347px\" \/><figcaption><em>Data mapping can help you keep track of your organizational information.<\/em><\/figcaption><\/figure><\/div>\n\n\n\n<p>The challenge: how do legal, information technology, and records management professionals ensure that all responsive information is discoverable and retrievable across all electronic storage systems used by an organization? Keep in mind, discovery applies to all organizational information, not just those documents that are considered state records.<\/p>\n\n\n\n<p>Think about all the different electronic recordkeeping systems and formats your organization uses; email on government devices, work email on personal devices, share drives, instant messages, content management systems, offline hard drives and backup tapes, portable storage devices like thumb drives, cloud storage, legacy systems, transaction processing systems, etc. Are you prepared to search all of them? Do all your electronic files have metadata that makes them searchable?
