As public servants, records and information management (RIM) is a simple fact of life\u2014statute applies to us all. However, regulation does not imply homogeneity, and RIM programs are as unique as the entities that create them.<\/p>\n\n\n\n

April is RIM month, and we at TSLAC want to take a moment to celebrate all the different RIM styles we see throughout the state. From the tiniest local government to the biggest state agency, the RIM work being done in Texas is simply extraordinary. Take the quiz to find your style!<\/p>\n\n\n\n

Which best describes your RIM training program?<\/h2>\n\n\n\n

A)<\/strong> If staff weren’t expert records custodians<\/a> before working here, they are now. RIM training is mandatory during on-boarding, and our Records Management Officer (RMO) reaches out to staff regularly with program updates, tips, and tricks.<\/p>\n<\/div><\/div>\n<\/div>\n\n\n\n

B)<\/strong> We suggest all new employees watch TSLAC’s recorded webinars<\/a> and arrange for group in-person training<\/a> with TSLAC every few years. Directors are responsible for disseminating information updates.<\/p>\n<\/div>\n\n\n\n

\n

C)<\/strong> If an employee only creates transitory records and doesn\u2019t manage shared documents, there\u2019s no need to train. The RMO will take care of making sure the people who need to be are in the know.<\/p>\n<\/div>\n<\/div>\n\n\n\n

Which best describes your retention schedules?<\/h2>\n\n\n\n

A)<\/strong> We frequently review and update<\/a> our schedule so it always reflects current state regulations<\/a> and our own internal business practices. Our schedule is so customized, our buckets<\/a> have buckets.<\/p>\n<\/div>\n\n\n\n

B)<\/strong> We have taken the schedules published by TSLAC and tweaked the language to make series more relevant to our functions. We have also added a few custom series<\/a> for those extra specific records.<\/p>\n<\/div>\n\n\n\n

\n

C)<\/strong> Our series are copied directly from TSLAC\u2019s schedules<\/a>, or we refer staff directly to TSLAC\u2019s website<\/a>. That way, we always know we\u2019re referring to the latest information.<\/p>\n<\/div>\n<\/div>\n\n\n\n

Which best describes your disposition methods?<\/h2>\n\n\n\n

\n

A)<\/strong> Our detailed disposition logs go back to the 90\u2019s, and we\u2019re on a first-name basis with our destruction vendor. You won\u2019t find any records here that have been eligible for disposition more than six months.<\/p>\n<\/div>\n\n\n\n

B)<\/strong> Fiscal year end (FYE)<\/a> is our annual disposition season, and staff always look forward to Shred Day. We purposefully over-retain certain records as part of big buckets<\/a> that simplify the destruction process.<\/p>\n<\/div>\n\n\n\n

\n

C)<\/strong> Freeing up storage space is a motivating factor when records start piling up. We address disposition as our busy schedules allow and record bulk destruction on a shared disposition log<\/a>.<\/p>\n<\/div>\n<\/div>\n\n\n\n

Which best describes your storage methods?<\/h2>\n\n\n\n

A)<\/strong> We have detailed procedures for filing and naming conventions<\/a>. Our digital folders make liberal use of crosswalks to maintain template control and reduce the number of free-floating convenience copies.<\/p>\n<\/div>\n\n\n\n

B)<\/strong> Permanent and essential records<\/a> are overseen by records staff, but each department is otherwise free to use the filing methods that work best for their team as long as records are discoverable when needed.<\/p>\n<\/div>\n\n\n\n

\n

C)<\/strong> Institutional knowledge is very important to us, and our office works as a unit. Because of this, any staff member need only ask the appropriate team member to find where specific records are kept.<\/p>\n<\/div>\n<\/div>\n\n\n\n

Which most resembles your RIM accountability structure?<\/h2>\n\n\n\n

A)<\/strong> Our records management program is directly overseen by senior level management<\/a>, and we have a team of full-time staff dedicated to the care and maintenance of our organization\u2019s records.<\/p>\n<\/div>\n\n\n\n

B)<\/strong> Department autonomy is important to us, so directors and managers are assigned as records liaisons<\/a> responsible for ensuring their teams are managing records appropriately.<\/p>\n<\/div>\n\n\n\n

\n

C)<\/strong> Records management falls under \u201cother duties as assigned,\u201d and the team (or person) in charge of operating the records management program wears many hats.<\/p>\n<\/div>\n<\/div>\n\n\n\n
