Even though I know that leaving my clean clothes in a laundry basket creates problems\u2014my work shirts get wrinkled, and I can never find socks that match\u2014I still end up putting it off for days.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For many government employees, their unsorted email inbox is something like my unfolded laundry basket. Even though keeping every email you\u2019ve ever received in your inbox creates issues, and even if you\u2019ve already set up an <a href=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/2016\/03\/how-can-i-set-up-an-email-filing-system\/\">email filing system<\/a>, it\u2019s difficult to find the motivation to sort your emails. But don\u2019t lose hope! Once you have some folders set up and you know the basics of sorting, you\u2019re ready to try out the solutions below.<\/p>\n\n\n\n<h2 class=\"has-text-align-center has-cyan-bluish-gray-background-color has-background wp-block-heading\" id=\"quick-steps\">Quick Steps<\/h2>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright size-full\"><a href=\"https:\/\/freeicons.io\/profile\/823\" target=\"_blank\" rel=\"author noopener\"><img loading=\"lazy\" decoding=\"async\" width=\"256\" height=\"256\" src=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/socks-drawing-256.png\" alt=\"cartoon drawing of a pair of white socks with yellow toes and heels\" class=\"wp-image-17929\" srcset=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/socks-drawing-256.png 256w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/socks-drawing-256-150x150.png 150w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/socks-drawing-256-50x50.png 50w\" sizes=\"auto, (max-width: 256px) 100vw, 256px\" \/><\/a><\/figure><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">One fast way to sort emails is to set up <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/automate-common-or-repetitive-tasks-with-quick-steps-b184f89f-3738-4562-96de-c0244ea830f2\" target=\"_blank\" rel=\"noreferrer noopener\">Quick Steps<\/a> for the folders you use most often. In Outlook, the Quick Steps feature lets you create custom buttons that perform certain actions. By setting up Quick Steps that move emails to folders, sorting your inbox becomes speedy and\u2014dare I say\u2014fun.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To use Quick Steps, you\u2019ll need to open Outlook in the desktop app (unfortunately, the Quick Steps tool is not available in the Outlook Web App or the mobile app). From there you can <a rel=\"noreferrer noopener\" href=\"https:\/\/support.microsoft.com\/en-us\/office\/automate-common-or-repetitive-tasks-with-quick-steps-b184f89f-3738-4562-96de-c0244ea830f2\" target=\"_blank\">create the Quick Steps you want<\/a> and arrange the buttons how you like.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">What makes the Quick Steps tool extra powerful is the ability to add multiple actions to a single button. You can do this by setting up a Custom Quick Step. For example, you could make a Quick Step that marks the email as read and clears any <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/set-categories-flags-reminders-or-colors-a894348d-b308-4185-840f-aff63063d076\" target=\"_blank\" rel=\"noreferrer noopener\">flags or categories<\/a> you may have assigned at the same time it moves the email to a folder. If you frequently receive emails that need to be forwarded to someone else, you could set up a Quick Step that moves your copy of an email to a folder (or deletes it) and forwards the email to someone else. There are many options available, so it\u2019s worth taking time to explore them and see what settings might work for you.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Once you\u2019ve set up your Quick Steps, cleaning your inbox is as simple as selecting the email you want to move and clicking the Quick Step button for the folder you want to move it to. Before you know it, you\u2019ll be zooming through your inbox like a sorting superhero.<\/p>\n\n\n\n<h2 class=\"has-text-align-center has-cyan-bluish-gray-background-color has-background wp-block-heading\" id=\"rules\">Rules<\/h2>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignright size-full\"><a href=\"https:\/\/freeicons.io\/profile\/823\" target=\"_blank\" rel=\"author noopener\"><img loading=\"lazy\" decoding=\"async\" width=\"256\" height=\"256\" src=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/buttonup-drawing-256.png\" alt=\"cartoon drawing of a white, button down collared shirt\" class=\"wp-image-17930\" srcset=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/buttonup-drawing-256.png 256w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/buttonup-drawing-256-150x150.png 150w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/buttonup-drawing-256-50x50.png 50w\" sizes=\"auto, (max-width: 256px) 100vw, 256px\" \/><\/a><\/figure><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">Quick Steps can help you sort emails one by one, but what if you have a lot of emails to sort? The <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/set-up-rules-in-outlook-75ab719a-2ce8-49a7-a214-6d62b67cbd41\">Rules<\/a> feature in Outlook can help you move batches of emails from your inbox into folders and can be set to make certain incoming emails skip your inbox entirely.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Like Quick Steps, Rules work by identifying emails that meet certain criteria and performing one or more actions on those emails. The difference is that Rules work automatically once they\u2019re set up\u2014no button pushing required. When you get a new email, Outlook will check to see if there is a Rule that applies. If so, Outlook will execute the Rule. When you make a new Rule, you can also choose to run it on emails already in your inbox, which is a great way to sort a lot of old emails at once.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">You can set up Rules from the Outlook <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/create-custom-actions-rules-in-outlook-for-windows-c6a15a50-5b4f-43ea-9bcf-be8616db8a98\" target=\"_blank\" rel=\"noreferrer noopener\">desktop app<\/a> or the <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/inbox-rules-in-outlook-web-app-edea3d17-00c9-434b-b9b7-26ee8d9f5622\" target=\"_blank\" rel=\"noreferrer noopener\">web app<\/a> and, as with Quick Steps, there are many options to choose from. For instance, you can make a Rule that puts any incoming emails from a particular sender into a folder. This is a great option for emails that you\u2019re certain will always be categorized the same way, such as list-servs, automatic updates from software products, or emails from your HR department. You can also set up a Rule that moves incoming emails with particular words in the subject heading into a folder. So, if you are a manager, you could instruct your employees to always put \u201cLeave Request\u201d in the subject line when they request time off and make a Rule to automatically route those emails to a Leave Requests folder.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">If you decide to use Rules to automatically sort your emails, be aware that you\u2019ll need to keep an eye on your individual folders for new items that have bypassed your inbox. It is also a good idea to periodically review any emails that you\u2019ve set to auto-sort just in case they need to be sorted a different way. Overall, Rules are a great way to clear out clutter from your inbox and prevent clutter from being created in the first place.<\/p>\n\n\n\n<h2 class=\"has-text-align-center has-cyan-bluish-gray-background-color has-background wp-block-heading\" id=\"you-re-on-your-way\">You&#8217;re on Your Way!<\/h2>\n\n\n\n<div class=\"wp-block-image\"><figure class=\"alignleft size-full\"><a href=\"https:\/\/freeicons.io\/profile\/823\" target=\"_blank\" rel=\"author noopener\"><img loading=\"lazy\" decoding=\"async\" width=\"128\" height=\"128\" src=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/sunglasses-drawing-128.png\" alt=\"\" class=\"wp-image-17931\" srcset=\"https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/sunglasses-drawing-128.png 128w, https:\/\/www.tsl.texas.gov\/slrm\/blog\/wp-content\/uploads\/2022\/06\/sunglasses-drawing-128-50x50.png 50w\" sizes=\"auto, (max-width: 128px) 100vw, 128px\" \/><\/a><\/figure><\/div>\n\n\n\n<p class=\"wp-block-paragraph\">With these tools at hand, I hope that you can find the motivation to sort your email inbox.
